We are seeking a highly organized, proactive Executive Assistant to provide high-level support to two senior executives/C‑suite leaders. This role requires strong judgment, discretion, and the ability to manage sensitive information with professionalism and confidentiality. As a trusted partner, you will play a critical role in managing complex calendars, coordinating travel, and ensuring seamless communication and coordination across the organization. This position is based on site at our GXO facility in Greenwich, CT.

What you’ll do on a typical day:
- Manage the calendars, meetings, and communications with precision and discretion
- Coordinate complex domestic and international travel arrangements
- Prepare reports, presentations, and internal communications
- Organize internal and off-site meetings and events
- Maintain confidential files and contact databases
- Use AI tools (like Microsoft Copilot) to streamline administrative tasks
- Track and manage expenses accurately and on time
- Support the executive team with ad-hoc projects and initiatives
What you need to succeed:
At a minimum, you’ll need:
- Bachelor's degree or equivalent related work or military experience
- 2 or more years of experience in an administrative or executive support role
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Demonstrated ability to effectively multitask and meet deadlines
It’d be great if you also have:
- 5+ years of experience supporting senior executives in a fast paced or global environment
- Experience in global or regional organizations
- Familiarity with AI productivity tools
- Intermediate Excel skills and comfort working with data
- Excellent communication and time-management skills
- Strong attention to detail and ability to multitask
- High level of professionalism and confidentiality
