The Senior Talent Acquisition Operations Specialist plays a key role in delivering seamless and professional hiring experience for candidates and internal stakeholders. This role supports salaried hiring across corporate and executive functions, manages offer letter creation, facilitates onboarding, and coordinates interview scheduling for senior-level roles.

What you’ll do on a typical day:
- Partner with Executive Recruiters and HR leaders to support high-touch hiring processes for senior-level and corporate roles
- Coordinate complex interview scheduling across multiple time zones and stakeholders, including executives and senior leaders.
- Provide operational support for salary hiring across corporate and executive functions.
- Collaborate with recruiters and HR partners to ensure timely and accurate processing of offer approvals and onboarding tasks.
- Create and manage offer letters for corporate and executive roles, ensuring accuracy and compliance with compensation guidelines and company policies.
- Maintain and update offer templates and documentation to reflect current standards and practices.
- Facilitate onboarding for new hires, ensuring timely completion of documentation, system entries, and Day 1 readiness.
- Partner with Recruiters to resolve onboarding issues and ensure a smooth transition for new employees.
- Monitor onboarding progress and proactively follow up on outstanding items.
- Maintain accurate records in the applicant tracking system (ATS) and other HR platforms.
- Ensure compliance with employment laws, internal policies, and data privacy regulations.
What you need to succeed at GXO:
At a minimum, you’ll need:
- 3-5 years of experience in talent acquisition operations, HR coordination, or related field, with exposure to exposure to executive or corporate hiring
- Proven ability to manage complex scheduling and high-volume operational tasks with precision
- Strong communication and interpersonal skills, with a customer-service mindset
- Proficiency in ATS platforms (e.g., Workday, SuccessFactors, or similar) and Microsoft Office Suite
- Ability to handle sensitive information with discretion and professionalism
It’d be great if you also have:
- Associate degree or equivalent related work or military experience
- Positive, can-do attitude; willingness to contribute ideas and expertise
- Ability to work independently and in a team environment
- Ability to maintain a high level of confidentiality
