Do you love customer service, want the opportunity to expand your expertise in a logistics/warehouse environment? This is the role for you! We are recruiting for a Transport Administrator in Mechelen.
As a Transport Administrator you are the first point of contact for all inbound and outbound drivers. You will offer a friendly face, open and clear communication and be able to give direction. Handle all documentation ensuring all data is recorded correctly, safely maintaining quality, enabling an efficient warehouse flow.
You serve as the primary contact for the internal customer service team and customer transport teams.
- 2 shift pattern 6.00 - 14.00 and 14.00 – 22.00 rotating week shifts – Monday to Friday.
- Fluent in English, Dutch would be advantageous.
- Previous experience within a warehouse or similar environment would be beneficial, but previous customer service is a must.
- Will report to the Supervisor.
What You Do on a Typical Day
- Monitor the registration kiosk, identify drivers and direct inbound and outbound drivers according to safety and site procedures.
- Provide clear information on safety instructions, routes, loading and unloading areas.
- Perform access control and ensure compliance with all site safety requirements.
- Check, process and archive transport documents (CMR, loading notes, internal checklists, customs documents, etc.).
- Accurately enter data into WMS and/or TMS systems.
- Verify shipment information (e.g., seals, references).
- Escalate issues promptly (missing documents, excessive waiting times, etc.).
- Communicate daily with drivers and warehouse supervisors.
- Report deviations, delays or missing documents.
- Respond to driver’s questions in a respectful, customer‑focused manner.
- Enforce all safety procedures at the gate and reception desk.
- Ensure proper use of PPE.
- Identify risky situations and report them according to internal QESH guidelines.
- Maintain a clean, orderly and welcoming reception area, as it presents the first impression for external visitors.
- Contribute to efficient transport flow by signaling administrative bottlenecks.
- Carry out all document checks accurately and correctly.
- Support improvements in the arrival and departure processes.
What do you need to succeed at GXO?
- Experience in logistics, transport administration or a similar role is a strong plus.
- Basic knowledge of transport documents (CMR, loading notes, customs papers) is an advantage.
- Good command of English; additional languages (Dutch, French, German, Polish) are a plus.
- Previous customer service experience is required
- Ability to manage timescales and priorise
